DEEDSVIEW, VA AND INFORMATION COPIES, PRETORIA DEEDS REGISTRY; AND STATUS OF EDRS PROJECT
Your letter dated 13 February 2024 has reference, and my response is as follows:
1. DEEDSVIEW, VA AND INFORMATION COPIES, PRETORIA DEEDS REGISTRY
1.1 DeedsView availability of scanned copies: The branch experienced intermittent technical issues during December 2023, negatively affecting access to documents on the DeedsView application/ system. While the matter was resolved in the second week of January 2024, the backlog on documents required a bit more time to be resolved and to date, the system is available and documents are now accessible to clients.
1.2 With regards to the non-availability of recent copies on DeedsView, this matter was reported to CD: Deeds Registration ICT in November 2023 and resolved accordingly.
1.3 Upon further investigation with members of the PAA at Pretoria Office, it was further understood that the issue of recent copies is linked to Conveyancers having access to download and print all versions of documents available on DeedsView. The ICT team is currently investigating and considering this system change; implementation plan as maybe applicable will be shared with stakeholders.
1.4 The Office of the Chief Registrar of Deeds, through operations will continue to support and monitor ICT services closely.
2 DIGIDEEDS (ELECTRONIC DEEDS REGISTRATION)
2.1 We are cognisant of the concerns regarding the progress on eDRS project. The project team is implementing a communication plan covering all key stakeholders, and this communication will be sent out to the fraternity by 08 March 2024.
2.2 While pre-project communication/engagement were held with the conveyancing fraternity between 2022 and 2023, the eDRS Phase 1 module, had limited impact and communication requirements to the fraternity.
2.3 In line with our communication plan, we will be seeing an accelerated information exchange and participation by the fraternity as we proceed with subsequent phases of the project.
