We regret to inform you that we are officially suspending operations from midday on the 24th of December, reopening on Monday the 5th of January 2026.
Why? Because frankly, our algorithms need a break. Our servers have been working overtime all year to manage your billing, track your disbursements, and remind you about that one Pikitup fine you forgot to pay in April. Our IT department just tried to file a motion to compel sunshine and fresh air, and our CTO found our predictive analytics model trying to expense gingerbread lattes and scheduling all upcoming Zoom meetings in a “Winter Wonderland” virtual background. The system is clearly compromised. And it’s clearly time to call it quits for the year.
We realise this may cause a temporary disruption in your ability to automate discovery but consider this an intervention. We urge you, our dear legal friends, to follow suit.
Put down the red pen, step away from the scheduling calendar, and stop trying to find a loophole in your mother-in-law’s Christmas lunch seating plan. The case of You vs. Burnout is an open-shut affair, and you’re currently losing badly. The evidence is overwhelming: the twitching eye, the unexplained desire to cite stare decisis during a debate about Christmas carols, the belief that “attorney-client privilege” covers hiding the last slice of pie (it doesn’t. Unfortunately).
We are closing our doors to engage in the ancient, restorative arts of doing absolutely nothing. We hope you will join us in this noble pursuit. Go forth and enjoy a brief period where the only binding agreement you have to worry about is a promise to watch bad holiday movies.
But we are not leaving you without guidance.
The Guidance You Really Need
All jokes aside, the end of the year presents a necessary pause for your legal team to rest and recharge. But while you and your team are doing just that, you still need to ensure that the firm remains secure (most importantly) and compliant while the doors are temporarily closed.
In order to do this, you need to balance operational continuity, data security, and employee well-being – all of which are key to starting the new year with a clean slate.
To guide you in this endeavour, we have set out a comprehensive checklist, keeping these essential elements in mind –
- Data Security and Technology Safeguards– while you and your team are on leave, your digital assets remain a target. Keep in mind, data is an asset. A valuable one at that, and hackers don’t go on end-of-year leave. So, robust end-of-year procedures are vital –
- Final Data Backups and Verification
- Execute final backups – before a significant period of closure, run a final, comprehensive backup of all critical systems, client files, and financial records.
- Verify backup integrity – verify that the backups are complete and restorable. Test a sample restoration to ensure data integrity and accessibility for when staff return. This is crucial!
- Physical and Digital Security Audit
- Physical closure checks – ensure all physical data storage (file rooms, server rooms) are locked, are completely secure, and are climate-controlled.
- Update and patch systems – confirm all operating systems, security software, and legal tech platforms have the latest security patches and updates installed. Keep in mind that a lack of updates is a primary entry point for cyber threats.
- Review access logs – conduct a final review of who has access to sensitive data and temporarily suspend access for any departing staff members or contractors. If they don’t need to have access, they shouldn’t.
- Leveraging Legal Tech for Absence – instead of shutting everything down, leverage legal technology, like AJS, to maintain essential functions securely –
- Automated client communication – utilise secure client portals and automated email responders to manage client expectations, informing them of the firm’s closure dates and emergency contact procedures without revealing sensitive internal details.
- Cloud-based document management – ensure all case files reside in secure, compliant cloud storage. This allows authorized emergency access for directors while keeping physical offices empty.
- AI-powered monitoring – implement AI tools within your systems that can flag unusual login attempts or mass data transfers, alerting a designated director during the holiday period.
- Mobile app and web access – enables you to check up on anything related to your firm from wherever you are. You can even log and bill for that cheeky phone call you received while sipping cocktails on the beach.
- Scheduled jobs – you may be resting but scheduled jobs will keep on working to perform your automated tasks.

- Final billing cycle – ensure that the final invoices of the year are sent and recorded.
- Reconcile trust accounts – conduct a final reconciliation of all client trust accounts to maintain strict compliance with legal ethics rules, always keeping in mind that lawyers answer to a higher power when it comes to the proper maintenance of trust accounts. Is it really worth losing your membership over?
- Case File Review and Archiving
- Close completed files – formally close and archive all matters that reached completion during the year. This clears the active caseload and physically or digitally declutters the office. “Feng Shuing” all the way to the New Year.
- Review upcoming deadlines – double-check the calendar for the first two weeks of the new year, ensuring no critical court deadlines or client meetings are missed due to the holiday break. Assign responsibility for early-January items before staff leave, because the early bird catches the worm. Always.
- Employee Well-being and Mental Health – a high-performing firm requires rested lawyers and staff. While some may argue that security and back-ups are the most important (we agree), others would argue that this particular checklist item is the most vital for long-term success in any event.
- Enforcing the “Need to Rest” Policy
- Set the expectation – explicitly instruct all employees to go on leave. To disconnect. They may be as shocked as you to hear it, so prepare yourself for some gasps. But the firm culture needs to support rest. And it always trickles down from the top.
- No “Urgent” Exceptions (Almost) – directors must commit to handling true emergencies, shielding staff from non-critical interruptions. Define what constitutes an emergency clearly before everyone leaves.
- The Clean Slate Mentality
- Physical Decluttering – encourage a firm-wide “desk clear-out” on the last day of work. A tidy office or a clean virtual desktop contributes to a clear mind upon return.
- A “Start Strong” Message – send a clear, positive communication to all staff members and colleagues acknowledging their hard work throughout the year and emphasising the importance of rest and relaxation.
Closing a law firm for the year-end break is quite a nuanced task. But if you meticulously address things like data security and compliance requirements, leveraging legal technology to maintain a secure ‘presence’ while physical offices are closed, and, most importantly, prioritising the mental health and mandated rest of the team, you can – easily we might add – ensure operational resilience.
By following our checklist, everyone in your top tier team (say that three times fast) will step into the new year recharged, compliant, and ready for the challenges ahead.
